In Western Australia, a mandatory requirement for agencies to identify and manage State archives in digital format was introduced when the State Records Commission adopted SRC 8 (Digital Recordkeeping) with the Standard coming into operation in February 2008. In relation to each agency and department in the Minister’s portfolios, I ask:
(a) how many data sets and/or digital records have been identified by each agency for preservation as digital archives pursuant to Principle 5 of SRC 8;
(b) is there is a publicly accessible register that describes data sets and classes of records identified as digital archives in the Minister’s departments and agencies; and
(i) if not, why not, and when is it the Minister’s intention to publish such a register;
(c) if such a transparent register does not currently exist, what assurance can the Minister give that digital archives of the State within his portfolios are being identified and managed in accordance with the requirements of SRC 8; and
(d) what funding has been allocated within the Minister’s portfolios, or provided by the State Records Office, to provide agencies with training and instruction on how to comply with SRC 8?

For the Department of Agriculture and Food;
(a) None. The Department meets the minimum compliance requirements for Standard 8 Principle 5 by storing all digital records on the shared drives on backup tapes and having a data recovery and restoration policy and procedure in effect.
(b) No.
(i) There is no specific requirement under State Records Commission (SRC) Standard 8 to produce a publicly accessible register that describes data sets and classes of records identified as digital archives

(c) The Department's Retention and Disposal Schedule is submitted to the SRC for approval. This Schedule is a register of the types of records and archives found within the Department, regardless of format.
(d) Within the state Budget $38.8m over four years has been allocated to upgrade the Department's Information Management systems. Within this program works are underway to manage state archives in digital format in order to preserve them pursuant to Principal 5 of SRC Standard 8. Training agency staff to comply with all State Records Commission Standards via the use of this system will be tied in with this project.
Forest Products Commission
(a) Nil.
(b) No.
(i) Data sets have yet to be determined.
(c) All records are managed in accordance with the
State Records Act 2000
and the Forest Products Commission's (FPC) Recordkeeping Plan, which is approved by the State Records Commission. Management of digital records in accordance with SRC 8 (Digital Recordkeeping) will be incorporated into the new FPC Recordkeeping Plan required by 2013.
