In relation to state records, I ask - (1) Is the minister aware or concerned that agencies required to keep records and forward them to the State Records Office are not required to date the hard copies sent to the office? (2) Is it true that government agencies have been told not to send any further records to the State Records Office because the repositories are full? (3) Will the government allocate additional funding to the State Records Office to ensure that state records can be appropriately stored, and will it move to require that all state records required by legislation to be kept will be dated? Hon KATE DOUST

I thank the member for some notice of this question. (1) The State Records Commission’s standards require government agencies to have record-keeping policies and procedures in place, which are based on best practice record keeping, and recommends that dates of receipt or transactions are an integral part of the record. The lack of a date does not invalidate it as a state record. (2) Government agencies have been requested to make alternative arrangements until such time as interim storage has been finalised. (3) Additional recurrent funding was allocated to the State Records Office from 2004-05. A business case is being finalised for the construction of a new archival repository to accommodate long-term archival needs. Negotiations for additional storage will conclude in mid-September.
