refer to records management and archiving, and I ask: (a) for
each of the last five financial years finishing 2016-17, for each Government
agency within the Minister’s portfolio, could the Minister please provide the
cost of records archiving services including: (i) collection; (ii) storage; (iii) retrieval; and (iv) destruction; (b) for each of the last five financial years,
finishing 2016-17, for each Government agency within the Minister’s portfolio,
could the Minister please provide the cost of records management consultancy
services provided by: (i) the
State Records Office; and (ii) private consultants and/or consultancy
businesses; and (c) for
each Government agency reporting to the Minister, could the Minister please
explain the process by which records held offsite by third-party private
companies can be searched and accessed by: (i) members of the agency; (ii) members of other Government agencies; (iii) members of academia; and (iv) members of the public?

(c )(i-iv) Authorised personnel within Tourism Western Australia’s Information Management Team can search and request records from a secure database held by the third-party private company utilised by the agency. Other Tourism Western Australia personnel can contact the authorised Information Management Team to request these records.
Personnel of other Government agencies can contact Tourism Western Australia to request these records, and requests will be assessed individually by the Information Management Team.
Personnel of academia can contact Tourism Western Australia to request these records, and requests will be assessed individually by the Information Management Team. Depending on the nature of the records, Tourism Western Australia may request that a Freedom of Information (FOI) application be submitted.

(c) (i-iv) Records held offsite can by searched by members of the agency, subject to security restrictions. Members of other Government departments, members of academia and members of the public cannot search the records.
Records held offsite can only be accessed by the Information Services staff members. Members of the agency can request records and Information Services staff members will obtain these from offsite storage, subject to security restrictions.
Members of academia and members of the public can request records by contacting the Information Services Coordinator, who will supply records where appropriate, through the Freedom of Information (FOI) process and outside of the FOI process.
