In Western Australia, a mandatory requirement for agencies to identify and manage State archives in digital format was introduced when the State Records Commission adopted SRC 8 (Digital Recordkeeping) with the Standard coming into operation in February 2008. In relation to each agency and department in the Minister’s portfolios, I ask:
(a) how many data sets and/or digital records have been identified by each agency for preservation as digital archives pursuant to Principle 5 of SRC 8;
(b) is there is a publicly accessible register that describes data sets and classes of records identified as digital archives in the Minister’s departments and agencies; and
(i) if not, why not, and when is it the Minister’s intention to publish such a register;
(c) if such a transparent register does not currently exist, what assurance can the Minister give that digital archives of the State within her portfolios are being identified and managed in accordance with the requirements of SRC 8; and
(d) what funding has been allocated within the Minister’s portfolios, or provided by the State Records Office, to provide agencies with training and instruction on how to comply with SRC 8?

b) Yes. The Department's Information Statement, required under the
Freedom of Information Act 1992
, identifies a list of data sets and classes of records available from the Department and sets out how they can be accessed.

d) Each year funding is allocated within the Department for records awareness training, including training of new staff and refresher training. This training includes instruction in the management of hardcopy and digital records.
Botanic Gardens and Parks Authority

b) Yes, information is reflected in the BGPA Retention and Disposal Schedule for Functional Records (August 2009-Ref:RD 2009059) approved by the State Records Commission. This document is available to the public on request.

Swan River Trust
e) The Trust is part of the 19 data sets/digital records that fall within Department of  Environment and Conservations Retention & Disposal Schedule.
f) Yes. In light of answer (a), and as a related agency to DEC, the Trust conforms to the Department's Information Statement, required under the
Freedom of Information Act 1992
, which identifies a list of data sets and classes of records available from the Department and Trust and sets out how they can be accessed.

h) As part of the Trust's Service Level Agreement with DEC, each year funding is allocated within the DEC for Records Awareness Training for the Swan River Trust, including training of new staff and refresher training. This training includes instruction in the management of hardcopy and digital records.
Perth Zoo
(a) 16 data sets of digital records are identified and registered as part of Perth Zoo's vital records.
(b) The public have access to the existing Perth Zoo Freedom of Information (FOI) Statement 2005 which lists documents held including databases. The FOI Statement is scheduled for update in June 2010. Perth Zoo will be including an updated register that describes data sets and classes of records identified as digital archives.

Department for Communities; including the Office for Youth
a) No data sets have been identified as being of archival value.
b) A publicly accessible register is available as part of the department's officially approved Record Keeping Plan.

d) The Department for Child protection currently provides archival services to the Department for Communities under a Service Level Agreement. An Information Management Transformation Plan is currently being prepared and will identify training needs.
